Items from the checklist sent in April 2008 to Lennar (Answers as stated at the Association Discussion meeting)

Pool

  1. Dead palm trees One palm is dead at pool and one Shinnecock entry tree needs replacement.  These are being replaced this week coincidentally.
  2. Magnetic gate pass-through and exit button relocated HOA has removed the exit button functionality
  3. Drain outside of men’s bathroom is draining improperly HOA fixed in April
  4. Charcoal grills in field by amenity center in picnic area Not to be installed by developer (~$250)
  5. Black tile broken in pool near 4ft, first lane on the left side HOA repaired in spring. One more came up in the summer. Will repair by spring.
  6. Large crack and poorly repaired holes around pool deck Fixed in spring. One other crack remains and can be filled. Will not appear new, but replacing a whole section of concrete as an alternative will likely look worse. Lennar directed to fill the crack.
  7. Fence around pool equipment at far end missing This equipment needs no fence. These are waterproof enclosures for the underwater lighting connections and are screened by ornamental grass.
  8. Tile in 4’6” trap area is broken and missing HOA repaired in spring
  9. Security cameras added at the pool Not to be installed by developer (~$3,800 for a good-quality system)

 Playground

  1. Extra lighting at playground and field left of amenity center Not to be installed by developer. May install “dusk to dawn hours” sign if Jeff directs. TB will call SCE&G for pricing for another pole.
  2. Enclosure around playground area Not to be installed by developer.
  3. Better recreational equipment Not to be installed by developer.

 Landscaping

  1. Brick monuments at Birkdale and Pebble Creek Done. Main entrance and Shinnecock have lighting. Pine Valley has electricity but no lighting. Birkdale and Pebble Creek have no electricity readily available.
  2. Seed/sod multiple areas around pond and areas across the pool on traffic circle Lennar will look at this area between Pine Valley and Shinnecock.  Ryland installed sod. TB should have the landscaper’s proposal for sod and irrigation in these areas by end of business 10/28. 
  3. Remove large dead tree at pond between Shinnecock and Birkdale Gone some time ago.
  4. Install lights on entrance monument sign at Pine Valley Lennar originally said Dorchester County would not give them a permit to install lighting. Can be done. Electricity is there. Single light $100… lighting package $1,000
  5. Remove debris from large pond by traffic circle Cleaned regularly.

 Miscellaneous

  1. Need a bike rack HOA will buy and install. ~$250. Ordered.
  2. Fountain added in pond Not to be installed by developer.
  3. Monument with landscaping and lighting Birkdale is completed. No lighting to be installed.
  4. Install One Way signs at Shinnecock and Brikdale at traffic circle by entrances Done by city or county.
  5. Add street lighting into Birkdale on either left or right side of the street There is a pond on right, strip of woods on left. No poles were set and none appeared to have been contemplated in laying the infrastructure. Typically lighting is only installed near homes as part of owners subdivision street lighting charge. HOA or developer must pay to install these leading up to houses. Not to be installed by Developer.

Other Items recently discussed

 Items of request

  1. A copy of a full set of recorded site plans Lennar to provide whatever is available
  2. Copies of any construction plans of the amenities and warranties Same
  3. An overview of the reserve account and a list of items that have been paid for from the reserve account Nothing has ever been bought from the reserve account. $15,000 was used as starting figure for 2008. 2009 calculates $21K. Only amenities are pool area, tot lot and monuments, and pool irrigation. Entry and Shinnecock irrigation.
  4. A list of items that the Developer would be transitioning over to the Association
  5. A list of items that will be transition over to any governing agencies from the Developer None required. Lennar got bond return confirmation again this week.
  6. A copy of the most recent financials, without the delinquency records of the owners Must come to the office.  MAY be able to give out the CPA’s report if Nick permits.
  7. Have an audit and reserve study conducted Financial Review is complete from 2004.  Cost for reserve study does not warrant doing have figures put together. Smarter and more prudent to come up with a base analysis – complete for 09.

Questions

  1. If a transition committee is formed, would the Board be willing to select at least five of the owners that are part of this volunteered group? Yes
    2.    If the elements of the community that are considered public (roads, sidewalks…) and they don’t get accepted and/or transitioned over to the local governing agency, then who would be responsible for the repair and maintenance of those items? All transitioned to City.
